Terms of Service

1.Using Cocarooms

Cocarooms is software for managing beds, rent, deposits, complaints, move-ins and resident communication in shared accommodation. By creating an account you agree to these terms on behalf of yourself and the property or business you represent.

2.Your account

• Keep your login details private. You are responsible for activity under your account and the staff accounts you create.
• Give each manager, warden or accountant only the access they need.
• Tell us promptly if you believe your account has been accessed without permission.

3.Plans and billing

• The Single plan is free for one property with up to 20 live beds, with no time limit.
• Shared and Whole House plans are billed per live bed per month, monthly or yearly, at the prices shown on the Plans page when you subscribe.
• Beds blocked for repair or closed for the season are not counted.
• Payment gateway charges on rent and deposits are billed separately at gateway cost.
• Taxes are added where applicable.

4.Rent, deposits and your money

Rent and deposits are paid by residents into the operator's own payment gateway account. Cocarooms records and reconciles these payments but does not hold, own or control the funds. The operator is responsible for refunds owed to residents.

5.Your responsibilities to residents

• Collect identity documents only where required by law and only for that purpose.
• Give a clear reason for every deposit deduction and attach a photo where possible.
• Follow applicable tenancy, rent control, police verification and data protection laws in your city and state.
• Use messaging features only for property-related communication with your residents.

6.Acceptable use

You must not use Cocarooms to:

• Discriminate against residents or applicants on the basis of religion, caste, gender, disability or any other protected characteristic.
• Send unsolicited promotional messages.
• Upload content that is unlawful or that you have no right to share.
• Attempt to access other operators' data, disrupt the service or reverse engineer it.

7.AI features

The AI Occupancy Forecaster provides estimates of demand for beds. Forecasts are guidance, not guarantees, and decisions on bookings and pricing remain yours. The forecaster must not be used to evaluate individual residents.

8.Your data

You own the data you and your residents put into Cocarooms. You can export it at any time. We use it only to provide the service, as described in the Privacy Policy.

9.Availability and changes

We work to keep Cocarooms available at all times and schedule maintenance outside busy rent-collection days where we can. We may improve or change features. If we remove a feature you pay for, we will give you reasonable notice.

10.Ending your account

You can close your account at any time. We may suspend or close accounts that breach these terms, after notice where reasonable. On closing, you will have 30 days to export your data before it is deleted, except where the law requires us to keep it.

11.Liability

Cocarooms is provided with reasonable care and skill. To the extent permitted by law, our total liability for any claim is limited to the fees you paid in the 12 months before the claim. We are not liable for indirect losses, lost rent or disputes between operators and residents.

12.Governing law

These terms are governed by the laws of India, and courts in Gurugram, Haryana have jurisdiction.
